Media Policies and Procedures

Videos and DVDs can be borrowed by all Worldwide faculty and staff. Worldwide students who wish to borrow items from the Hunt Library's Media collection can only do so with the approval of a Worldwide Campus. Worldwide Online students may borrow videos and DVDs only if there is a Worldwide Campus close to their location. To find a Campus in your area, please see the listing of US Campuses by State.

Requesting Videos / DVDs

Videos/DVDs can be requested through Voyager by following the steps outlined in the Online Instructions.  You can also submit media request via email, web form, or fax (386-226-7040).

Each time you borrow media titles you will need to provide us with the following information:

  • Your name
  • Your Campus
  • Your status (faculty, staff, or student)
  • The title of the video/DVD
  • The item's call number (for example, 1354-001 or TL 540.W7 K588)
  • The show or need by date (very important for shipping times!)

NOTE: There is no limit to the number of media titles you can borrow at one time; however, requests for ten or more items must be prioritized with staggered need by dates.

We will confirm the receipt of your request within 24-48 hours (excluding weekends).

Lead Time / Advanced Notice

We require at least 10 working days (for United States locations) or 15 working days (for international locations) of lead time to ensure the most expeditious processing of your requests. Without enough advanced notice, we will be unable to guarantee delivery by the requested date(s). Regardless, we will always try our best to deliver your videos/DVDs by the requested date(s).

NOTE: ASAP requests will be scheduled for processing at our earliest convenience. Please be aware that it may be 2 to 10 days before your "as soon as possible" request is shipped to your Campus.

Loan Period

  • Continental US - 30 days (includes shipping times)
  • All others - 45 days (includes shipping times)

After showing a video/DVD, please deliver it to your Campus Director so that it can be returned to the Hunt Library. Overdue notices are emailed to the Campus as soon as the loan period expires. If you need to borrow an item past its due date, please request an extension by sending an email to library@erau.edu. Unfortunately, we cannot guarantee extensions on the loan period for media titles.

Shipping Procedures and Special Instructions

As soon as an order is received, it is placed on the delivery calendar. Depending upon the demand for a particular title and a Campus' location, the video/DVD will be shipped about a week before the show date.

In most circumstances, we ship only to Worldwide Campuses - not to personal addresses.  Some special circumstances do apply which require special attention.  If you are a member of one of these special groups, please click on your group for further information.

Completed orders will be shipped via:

  • United Parcel Service (UPS) - for United States locations
  • United States Postal Service (USPS) - for international locations

NOTE:  Every effort will be made to provide you with tracking numbers of your order - if available.

Return of Materials

All media titles should be returned to:

Embry-Riddle Aeronautical University
Hunt Library - Worldwide Media Services
600 S. Clyde Morris Blvd.
Daytona Beach, FL 32114

Campuses must use a shipping agent that provides tracking numbers -- in case materials get lost in transit.

Videos and DVDs cost between $20 and $1000, and they must be insured for the value noted on the Worldwide Media shipping forms.

NOTE: Your Campus WILL be charged for the full replacement value of all missing or damaged media titles.

Recommendations and Suggestions

The Hunt Library encourages and welcomes any recommendations and suggestions from Worldwide faculty, staff, and students. If you have recently seen or heard of a video/DVD title that would supplement your classroom instruction, please let us know by filling out our Recommend New Video/DVD form. Your recommendations and suggestions are the library's best tool for improving the overall quality and relevance of our media collection.  If you have questions about using Worldwide Media Services or would like to comment on this service, please feel free to contact Worldwide Media Services.
